Overview

BuildersBridge (operated by BuildersBridge (Brainfy AI Inc.), “BuildersBridge,” “we,” “us,” or “our”) provides construction management software for builders and contractors across Canada and the United States. This Privacy Policy explains, in plain language, what personal information we collect, how we use it, who we share it with, and the choices you have. It is intended to be consistent with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, and — for our US customers — with applicable US federal and state privacy laws.

By using BuildersBridge, you agree to the practices described here. If you do not agree, please do not use the service.

PIPEDA compliance

We aim to handle personal information in accordance with the ten fair information principles under PIPEDA. In practice, that means we try to:

  • Be accountable for the personal information under our control and designate someone responsible for our privacy practices.
  • Identify the purposes for collecting personal information at or before the time of collection.
  • Obtain meaningful consent for the collection, use, and disclosure of personal information, except where the law permits otherwise.
  • Limit collection to what is reasonably necessary for the purposes we have identified.
  • Limit use, disclosure, and retention to those purposes, and keep information only as long as needed.
  • Keep personal information accurate, complete, and up to date.
  • Apply reasonable safeguards appropriate to the sensitivity of the information.
  • Be open about our policies and practices, and give individuals access to their information and a way to challenge our compliance.

US customers

For customers and users in the United States, we handle personal information in line with applicable US federal and state privacy norms. Depending on where you operate, you may have rights to access, correct, or delete your personal information, and to understand how it is used. We apply the same core safeguards described in this policy to all customers regardless of country. This policy is provided for general information and is not legal advice; we recommend reviewing it with your own legal counsel.

Information we collect

We collect information you provide directly, information generated as you use the service, and limited information from your device. This generally includes:

  • Account information — your name, business name, email address, phone number, and login credentials.
  • Billing information — plan, billing contact, and payment details, which are processed by our payment provider (we do not store full card numbers on our own servers).
  • Business and project data — the content you enter to run your business, such as leads, estimates, projects, schedules, invoices, documents, photos, and the contact details of your own clients and crew.
  • Usage and device data — log data, IP address, browser and device type, and how you interact with the product, used to operate, secure, and improve the service.

When you enter information about your own clients, crew, or subcontractors, you are responsible for having an appropriate basis to do so. With respect to that data, you act as the controller and we act as your service provider processing it on your behalf.

How we use information

We use personal information to:

  • Provide, maintain, and secure the BuildersBridge service.
  • Process payments, manage subscriptions, and prevent fraud.
  • Power product features, including AI-assisted estimates, scopes, and summaries you choose to generate.
  • Provide customer support and respond to your requests.
  • Send service and transactional messages, and — only with your consent — marketing emails.
  • Understand usage to improve and develop the product, using aggregated or de-identified data where practical.
  • Comply with legal obligations and enforce our agreements.

Data residency and storage

We use reputable cloud infrastructure providers to host the service. Where feasible, we prefer Canadian or North American data regions for primary storage. Some service providers may process or store limited data outside Canada; where that happens, the information remains subject to this policy and to contractual safeguards, and may be accessible to courts, law enforcement, and authorities in the jurisdictions where it is stored.

Third-party processors

We rely on a small number of trusted service providers to operate the platform. We share only the information they need to perform their function, and we require them to protect it. These generally include:

  • Stripe — payment processing and subscription billing.
  • Supabase — database, authentication, and file storage infrastructure.
  • Resend — delivery of transactional and consent-based email.
  • OpenAI — AI processing for features you choose to use, such as drafting estimates and summaries.

We do not sell your personal information. The specific providers we use may change over time as we improve the service.

Your privacy rights

Subject to applicable law, you have the right to access the personal information we hold about you, to ask us to correct inaccuracies, and to withdraw consent or request deletion where appropriate. To exercise these rights, email hello@buildersbridge.ca. We may need to verify your identity before acting on a request. If you are dissatisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Email — CASL and CAN-SPAM

Our email practices follow Canada's Anti-Spam Legislation (CASL) for Canadian recipients and the US CAN-SPAM Act for US recipients. We send commercial electronic messages only where we have an appropriate basis (express or implied consent in Canada), we identify ourselves clearly and include accurate sender details, and we include a working unsubscribe mechanism in every marketing message. You can withdraw your consent or opt out at any time, and we will honour the request promptly. Transactional and service messages related to your account may still be sent as needed to operate the service.

Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember preferences, secure the service, and understand aggregate usage. You can control cookies through your browser settings; disabling some cookies may affect how the service works.

Security

We apply administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, including encryption in transit, access controls, and reputable hosting providers. No method of transmission or storage is completely secure, so while we work hard to protect your information, we cannot guarantee absolute security.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “last updated” date above and, where appropriate, notify you. Your continued use of the service after changes take effect indicates your acceptance of the updated policy.
